Cold Email Outreach: An Example System

One example of a cold email outreach system: lists, safe sending, sequences, tracked links, CRM routing, follow-ups, and reports, mapped step by step.

This is one example of a cold email outreach system. Every company’s setup is different, and the tools change for each build.

In this example, cold email outreach runs as one connected system. A verified list goes out through separate, warmed-up sending domains. Every email and DM carries a tracked link. Replies and form fills land in the CRM with the campaign they came from, and people who click without replying join the warm remarketing audience. Follow-ups, sales alerts, and pipeline updates then run on their own.

The five layers, in the order work moves

1. Target: who to reach and why

  1. Buyer and offer. Who to reach, what problem you solve for them, and the one action you want them to take.
  2. Prospect list. Find and verify contacts that match, and add the details needed to personalize each message. Common tools: Apollo or LinkedIn Sales Navigator.

2. Send: reach the inbox safely

  1. Safe sending. Separate sending domains, plus SPF, DKIM, and DMARC. These are records that prove your email is real. Each inbox is warmed up before a campaign starts.
  2. Sequences. AI drafts personal emails and DM scripts for each channel. A person approves them before anything sends. Common tools: Instantly, Smartlead, or Lemlist, with Google Workspace or Microsoft 365.
Channels this works with
  1. Cold email
  2. LinkedIn
  3. Instagram DMs
  4. Facebook DMs

3. Track: know what each message did

  1. Clicks. Each channel and campaign gets its own UTM link. A UTM link is a link with source tags, so a click shows where it came from. The click lands on the site, where the pixel records the visit.
  2. Replies. Every reply is saved with the campaign that sent it.

4. Route: send each person to the right place

This works in any CRM: GoHighLevel, HubSpot, Ontraport, Brevo, Zoho, or even Google Sheets.

  1. CRM contact. Replies and form fills create a contact in the CRM, tagged by source, added to a segment, a smart list, and the pipeline.
  2. Warm audience. People who click but do not reply still count. The pixel adds them to warm audience A.
  3. Pipeline. The salesperson works the lead, and the pipeline stage updates after each call.

5. Act: what happens next, on its own

  1. Automatic email, SMS, and DM follow-ups.
  2. The salesperson gets an alert when a lead is ready.
  3. Retargeting ads show to warm audience A.
  4. A report shows replies, booked calls, pipeline, and sales by channel and campaign, so you keep what works and stop what does not.

How it connects to remarketing

Cold email outreach and remarketing share one audience. Everyone who clicks an email link becomes part of warm audience A, even without a reply. The remarketing and lookalike funnel example shows what happens to that audience next.

Questions

Common questions.

What is cold email outreach?

Cold email outreach means emailing people who do not know you yet, with a clear reason to write and one simple ask. Run as a system, the list, the sending, the tracking, the CRM, and the follow-ups are connected, so every reply and click is recorded with the campaign it came from.

Is cold email allowed?

B2B cold email is allowed in many places if you follow the rules: a real sender, an honest subject line, and an easy way to opt out. Rules differ by region, such as CAN-SPAM in the US and GDPR in the EU and UK, so each campaign is set up for where your buyers are.

Will cold email hurt my main domain?

It should not. Sending goes through separate domains that are warmed up first, so your main domain and inbox stay protected.

How do I know which campaign a lead came from?

Every link carries UTM tags for source and campaign. The form saves those tags, and the CRM stores them on the contact.

What happens to people who click but do not reply?

The pixel on the site records the visit, and they join the warm remarketing audience. They then see retargeting ads until they take the next step.
